Deposit, cancelling and changing dates: the rules by season

This page sets out the deposit, when the balance is due, and how cancelling and changing dates work for every stay at Nhà Sương. We set these rules ourselves and we are the ones selling the rooms, so we have written all of it down for you to read and compare before you transfer anything.

A stay follows the season of its strictest night. From mildest to strictest: low, regular, peak, holiday, Tết (Lunar New Year). Three regular nights plus one holiday night means the whole stay follows the holiday rules.

Requests and confirmation

• A booking request holds the room; it is not a confirmation yet. Ngân calls or messages you on Zalo the same day (07:00 to 22:00) to confirm and send the bank details.
• A request nobody acts on is released after 12 hours, and we tell you.
• Requests must reach us at least 12 hours before check-in (14:00 on the arrival day) and no more than 365 days ahead.

Seasons, deposit and balance

• The deposit is paid by bank transfer within 24 hours of confirmation, or the request lapses.
• It is a percentage of the whole stay (rooms and extras), rounded to the nearest 1,000 VND.
• The balance is paid on arrival; for stays with a holiday or Tết night, 14 days before check-in.
• Bank details come in Ngân’s confirmation message. The website never takes card numbers.

24 November became Vietnamese Culture Day, a paid day off, in 2026 (Hà Tĩnh provincial portal). The Tết 2027 holiday (4 to 10 February 2027) was still a proposal on 4 October 2026 (VOV); when the official decision is published we will move the Tết nights to match. Nightly rates for each season are on the rates page.

Cancelling

Days are counted before the check-in date.

Low and regular season

• 5 days or more ahead: full deposit refund.
• 2 to 4 days ahead: the deposit is kept.
• Under 2 days or no show: the first two nights are charged (or the whole stay if shorter), the rest released.

Peak

• 10 days or more ahead: full deposit refund.
• 5 to 9 days ahead: 50% of the room total is kept.
• Under 5 days or no show: 100% is charged.

Holidays and Tết

• The deposit is not refunded once the booking is confirmed.
• 30 days or more ahead: one free date change when a room is free (same rate band, otherwise the difference applies).
• Under 30 days: no refund and no date change.

Changing dates or rooms, leaving early

• Changing dates at holidays and Tết: as above, once, when you ask 30 days or more ahead and a room is free on the new dates.
• Changing rooms is free when another room is free.
• Leaving early is charged in full.

Force majeure

A storm, a landslide closing the passes into Đà Lạt, or an official travel ban: the stay is moved or kept as credit for 12 months. The deposit is not refunded in cash unless Nhà Sương cancels. If Nhà Sương cancels, you choose a full refund or a move.

Minimum and maximum nights

• A stay with a Saturday night: 2 nights minimum.
• A stay with a holiday night (24 and 31 December included): 2 nights minimum.
• A stay with a New Year night (30 December to 1 January) or a Tết night: 3 nights minimum.
• The strictest rule among your nights applies.
• Online requests go up to 14 nights; for longer stays, message us.
• The house is closed for upkeep on the nights of 11, 12 and 13 May 2027.

Stays of 5 nights or more where every night is low or regular season get 10% off every night. The discount is not combined with peak, holiday or Tết nights.

Three worked examples

Bảo and Mai Anh: Lò Sưởi (Fireside), a regular-season weekend

• Check in Friday 13 March 2026, check out Sunday 15 March 2026: Friday and Saturday nights. The Saturday night sets a 2-night minimum, which they meet.
• 1,940,000 VND x 2 nights = 3,880,000 VND. Deposit 30% = 1,164,000 VND on confirmation; 2,716,000 VND on arrival.
• Cancel 5 days or more ahead: the 1,164,000 VND comes back in full. 2 to 4 days ahead: the deposit is kept. Under 2 days or no show: the first two nights are charged, which here is the whole stay, 3,880,000 VND.

The Kim Chi family: Nhà Vườn (Garden House), four Tết nights

• Check in Thursday 4 February 2027, check out Monday 8 February 2027: four Tết nights (4, 5, 6 and 7 February). Tết sets a 3-night minimum, which they meet.
• 5,310,000 VND x 4 nights = 21,240,000 VND; two children aged 6 to 11 in the existing beds: 2 x 200,000 VND x 4 nights = 1,600,000 VND. Total 22,840,000 VND.
• Deposit 50% = 11,420,000 VND; the other 11,420,000 VND is due by 21 January 2027 (14 days before check-in).
• Once confirmed, the deposit is not refunded. Asking 30 days or more ahead, the family can move the dates once for free if a room is free on the new dates, paying the difference if the new nights are in another rate band. Under 30 days, no change.
• The Tết 2027 holiday was still a proposal on 4 October 2026; if the official decision differs, we will update this example.

Hannah: Gác Mây (Cloud Loft), five weeknights

• Check in Sunday 12 April 2026, check out Friday 17 April 2026: five nights from Sunday to Thursday, regular season. No Saturday, so no minimum.
• 1,350,000 VND x 5 nights = 6,750,000 VND; 10% off for five nights or more (675,000 VND) leaves 6,075,000 VND.
• Deposit 30% = 1,823,000 VND (rounded to the nearest 1,000); 4,252,000 VND on arrival.
• Cancel 5 days or more ahead: the 1,823,000 VND comes back in full. 2 to 4 days ahead: the deposit is kept. Under 2 days or no show: the first two nights are charged and the other three released.
